Athletic Department Administrative Assistant

Currently, we have a vacancy at the Secondary School:
Athletic Department Administrative Assistant - 0.5 FTE
Start date: 1 December 2019 or soon thereafter
  • To act as the first point of contact and welcoming, professional voice of the department
  • Liaise with the Secondary Parents Association and Sports Council to aid in concessions and the management of team parents.
  • Assist AD to organise team transportation for all sports trips
  • Assist with the Activities side of the department when needed
  • Assist with game day and tournament organisation, including some evening and weekend time commitments.
  • Collect, maintain and distribute team rosters as needed.
  • To liase with the finance department, credit card holder and manage payments including lost uniforms, travel/hotel costs and registration fees.
  • Assist in managing and maintaining the Athletics component of the ISH Calendar, events and facilities booking.
  • Manage housing assignments for all visiting and travelling teams for Athletics and Model United Nations.
  • Assist with the maintenance and distribution of department forms and documents such as the handbook.
  • Assist with event coordination/administration for Silverbacks Day, AD Meetings and Coaches Forums.
  • Liaise with Athletic Director and Assistant Athletic Director to coordinate and record the distribution/collection of uniforms.
  • Prepare and distribute Weekly updates of Silverbacks news, Schedule and dismissal lists
  • Communicate with Secondary Reception on all students away on sports trips, making sure SOM registers are updated on the school system.
  • Liaise with the Communication Team, maintain, update and support the Athletic Pages of the school website.
We are looking for the following skills, qualifications and experience:
  • Written and spoken English to native level (Dutch at an operational level is an advantage)
  • Excellent IT skills (Google Apps, Excel, Finalsite, etc.)
  • Strong organisational and office management skills
  • A high degree of discretion regarding confidential matters
  • Flexibility; ability to multitask; willingness to step in as needed
  • Ability to work from one’s own initiative
  • Diplomacy and tact in matters of interaction and communication
  • A “can-do” attitude; a team player with a sense of humour
  • Initiative and problem-solving ability; attention to detail
  • Familiarity with the school setting and athletics is a definite advantage
  • Secretarial/Admin College degree or relevant higher education qualification is an advantage

Working hours:
  • 0.5 FTE Part time job
We offer:
  • This is a temporary appointment for one year, with a view to a permanent contract if all the conditions are met. The position is based on the Dutch Collective Labor Agreement (CAO) for Secondary Education.
  • Salary scale 5: based on a 0.5FTE contract = €886.50 - €1267 pcm (gross) - the step in this scale depends on relevant experience.
